Spring Closing
Spring Semester Closing - 2025
Residential Communities close Saturday May 10, 2025 at 12:00 PM for all non-graduating students who do not have a Summer 2025 Housing Contract.
Check Out Process
- Complete the Express Checkout & Key Return Envelope (found at your community's front desk)
- Place your unit, bedroom, and mail keys inside the envelope and seal the envelope
- Place your sealed Express Checkout & Key Return Envelope inside the drop box (located at your community's front desk)
- The following should be returned in the envelope (if applicable); unit key, bedroom key, mailbox key, fob
- If you check out after 12:00 PM on May 10th, ALL checkouts will take place at Euclid Commons Building Four Community Desk
- Residents who do not complete proper check-out procedures will be accessed a one-hundred-dollar ($100) improper check out fee in addition to any other cleaning or damage fees based on the condition of their unit.
- Please note if you forget to turn in your key when checking out, the lock will be replaced, and you will be charged.
Residence Hall Rooms Should be Left Clean
- Remove all belongings from your room/unit
- Take out all garbage and recycling – remember all trash needs to be bagged and placed in the designated disposal areas outside your residence hall (trash rooms will be closed starting May 9, 2025)
- Disposal areas – Dumpsters will be available starting May 5th
- Euclid Commons: Dumpsters located outside Euclid Commons Building 2 Entrance (on E. 24th Street)
- The Edge: Dumpster located outside (by the parking garage) on E. 18th and Brownell Ct.
- The Langston: Dumpsters located outside Buildings 3,6, and 8 (parking lot side)
- Moving carts are available at first come first serve at your community’s front desk starting May 5, 2025.
- Cleaning supplies and trash bags are provided at your community's front desk (starting May 5, 2025)
- Clean your room, bathroom, and common area space
- Check for items in drawers, cabinets, and closets
- Lower blinds and close and lock windows
- Leave provided furniture
- Lock your doors
- Thermostats – DO NOT TURN THEM OFF
- Set at 70 degrees in cool with fan on auto
Before you Check Out Remember to:
- Set up mail forwarding with USPS
- Do a final walk through of your room
- Residents are responsible for cleaning the room and returning it to its original condition prior to moving out
- Pick up any remaining packages and mail. We do not forward packages or mail. Any mail remaining or received after checking out will be returned to the sender.
Late Stay Requests
- Graduating Seniors
- Students who are graduating and students participating in an official commencement capacity will be allowed to request a contract extension to move out by 12:00 PM (Noon) on Sunday May 11th. \
- There will be no additional charge assessed for students who are graduating or participating in a formal/official commencement capacity.
- All requests must be submitted through the using the Extended Stay Request form by May 2, 2025. Students whose requests are granted must continue to adhere to Ò¹À´ÏãÑо¿Ëù and Residential Community policies and they much comply with the applicable Check-Out Procedures. If this form is not available on your Housing Portal, please email reslife@csuohio.edu for assistance.
- Students participating in an official commencement capacity (provided with proof).
- International students or students whose home is flight away who have travel complications.
- Student accounts will be billed $35 per day approved to stay past the May 10, 2025, move-out date.
Summer Housing
- Students who have signed a Summer Housing Contract for 2025 do not have to move out for Spring Closing on May 10th. Summer residents will receive their summer assignments and their transition instructions during the week of May 26, 2025 – May 30, 2025.
- Students are required to be enrolled in a minimum of 6 credit hours for Summer 2025 OR enrolled full time for Fall 2025 if you’re living on campus during the summer term.
- If you are in need of summer housing, you can complete the Summer 2025 Housing Contract in Housing Self-Service. Please complete it by Monday, May 2, 2025.
- If you are staying for summer, you can see any new roommates assigned to vacant units in your apartment in your housing self-service portal, as they are assigned.
Check Out Fees/ Misc. Charges
Room damage includes, but is not limited to, damages caused by use of electrical appliances; use or placement of personal belongings; relocation or misuse of university-provided equipment; and use of adhesives, nails, tacks, and/or acts of vandalism.
Residence Life & Housing Staff will review and complete a final review of your room/unit within three (3) weeks of your departure. This assessment will be documented and will determine your financial responsibility for the condition of your room/unit. You are responsible and accountable under your Residence Hall Contract and Student Code of Conduct for all damages resulting from any negligence and misuse. You and your roommate(s) will be held jointly and severally liable for any and all damage to the room during your occupancy. In situations when the university can clearly establish individual responsibility, the individual will be the only person assessed for the damage.

Damage & Assessed Fees – Appeal Process
If you are assessed a damage fee assessment and you wish to appeal it, simply follow the instructions on the billing invoice notice that you receive from our department (by May 16, 2025). Any such appeal of damage fee assessments must be received in the Department of Residence Life and Housing by end of business on May 30, 2025.  Appeals decisions will be made on a case-by-case basis within ten (10) business days of receipt.
Housing Deposit
Housing Deposits will be released to residents’ student accounts and, if a student does not have a balance, the deposit will be refunded to them by June 10, 2025 (on their student account). All damages will be assessed to your student account, and the security deposit will be applied, if applicable. If students have a housing contract for the next academic year, their housing deposit will be kept on file.
Donations
The Department of Residence Life and Housing is coordinating a donation drive with Volunteers of America to support those who are in need. Please look for blue donation bins in your community's lobby/office and be sure to donate any lightly used/worn clothing, shoes, accessories, home decor, books, kitchen items, linens, and games! We are also accepting any non-perishable food items (canned & baking goods, seasonings, bottled water, pasta, rice, and other non-perishable items) with Lift Up Vikes. Quiet Hours
- 24-Hour Quiet Hours begin on Friday, May 2, 2025, at 5 PM. and are in effect until Saturday, May 10, 2025, at 8:00 AM. This supports students while they are studying for and taking final exams and completing final projects. Please be considerate of your neighbors during this time.
Floor/Community Meetings – Euclid Commons ONLY
All residents are required to attend their floor meetings with their Resident Assistant. These meetings are important as they ensure residents have a good understanding of Closing and Checkout Processes. Be sure to communicate with your RA if you are unable to attend your floor meeting. You will receive separate communication from your RA on the time and location of your floor meeting.
